Privacy Statement
Last updated: 29 October 2026
Your Dream Employee ("we", "us", "our") is committed to protecting your privacy. This Privacy Statement explains how we collect, use, disclose and safeguard personal data when you visit our website or use our AI voice receptionist services. It is written in line with the UK GDPR and the Data Protection Act 2018.
1. Data Controller
Your Dream Employee is the data controller responsible for the personal data you share with us. Our representative for data protection matters can be reached at cs@yourdreamemployee.ai.
2. Personal Data We Collect
We may collect the following categories of personal data:
- Contact & enquiry data: name, business name, email address, phone number, industry and any message you submit via our contact or demo request forms.
- Calculator data: the inputs you enter into the Revenue Leakage Calculator (such as call volume, job value and rates) where you choose to submit them.
- Call data: where you use our Services, the content of calls, call recordings and transcripts, caller phone numbers and call metadata, handled as described in your service configuration.
- Usage data: information about how you access and use our website and Services, including device, browser, and approximate location data.
- Communications: records of your correspondence with us.
3. How We Use Your Personal Data
We use personal data for the following purposes:
- To provide, operate and maintain the Services;
- To respond to enquiries and process demo and booking requests;
- To deliver and improve the AI voice receptionist, including call handling and scheduling;
- To send service-related communications where you have requested them;
- To comply with our legal and regulatory obligations; and
- To monitor and improve the security, performance and quality of our Services.
4. Lawful Basis for Processing
We rely on the following lawful bases under the UK GDPR to process personal data:
- Performance of a contract — to provide the Services you have requested;
- Consent — for optional communications and where you consent to call recording or specific processing;
- Legitimate interests — for service improvement, security and business administration, where these do not override your rights;
- Legal obligation — where we are required to process data to comply with UK law.
6. International Transfers
Some of our sub-processors may process personal data outside the UK. Where this occurs, we ensure that appropriate safeguards are in place, such as the UK International Data Transfer Agreement (IDTA) or recognised adequacy mechanisms, to protect your personal data in line with UK GDPR.
7. Data Retention
We retain personal data only for as long as necessary to fulfil the purposes described in this statement, comply with our legal obligations, or to establish, exercise or defend legal claims. Enquiry and calculator data is retained for a reasonable period and then deleted or anonymised unless retention is required by law.
8. Data Security
We implement appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration or disclosure. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
9. Your UK GDPR Rights
Subject to applicable law, you have the right to:
- Request access to and a copy of your personal data;
- Request the rectification of inaccurate personal data;
- Request the erasure of your personal data ("right to be forgotten");
- Request restriction of or object to the processing of your personal data;
- Request data portability; and
- Withdraw your consent at any time where we rely on consent.
To exercise any of these rights, contact us at cs@yourdreamemployee.ai. If you are not satisfied with our response, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
11. Call Recording
Where the Services record or transcribe calls, callers are notified that a recording may take place and, where required, consent is captured. We process call recordings and transcripts to deliver and improve the Services to you. You are responsible for ensuring your own compliance with PECR and UK GDPR notification and consent requirements for your callers.
12. Children's Privacy
Our Services are intended for businesses and are not directed at individuals under 18. We do not knowingly collect personal data from children.
13. Changes to This Privacy Statement
We may update this Privacy Statement from time to time. We will post the revised version on this page with an updated "Last updated" date and notify you of material changes where appropriate.
